Office Policies

Office Hours

Regular office hours are Monday to Friday from 8 am to 5 pm and Saturdays from 8 am to 11:30 am. Saturday appointments are available for the shorter visits such as adjustments, retainer checks, observation visits, and consultations. We do not offer evening or Sunday hours.

After Hours Contact

If problems arise that you feel cannot wait for attention until regular office hours, call the Aurora office at (630) 896-5400. The answering machine message will give you a phone number where one of our doctors can be reached. If the problem is urgent, and the doctor has not returned your call within 10 minutes of leaving a message, you should immediately contact your family dentist or a hospital emergency room.

Appointments

Once treatment has started, you will be seen every 2 to 8 weeks for checks and adjustments. These “checkup” appointments are about 10-15 minutes long. No orthodontist can see all of his/her patients after school or on Saturdays, so we have organized our office schedule so that most of the shorter and more numerous “checkup” appointments are available after school or on Saturday mornings. Other less frequent appointments, such as placing or removing braces, or for appointments that take extra time, are usually scheduled at times which may conflict with work or school schedules. Over the years we have found that this scheduling system works best for everyone concerned and your cooperation in scheduling appointments will be appreciated.

Appointment Etiquette

We make every effort to run on time for your appointments and ask that you extend the same courtesy to us. We understand that things may occasionally come up making it impossible for you to arrive on time or keep a scheduled appointment. If you are running late, let us know—we will do our best to accommodate your visit. If you cannot keep an appointment, please notify us as soon as you can so that we can offer your appointment to another patient and reschedule your visit.

Financial Policies

The cost of orthodontic treatment is based on the type of problems being corrected and the length of treatment.

Below is a summary of some of the main points of our office financial policy. Complete fee and financial policy information, including a payment plan, will be provided in writing before treatment begins.

Insurance

We accept assignment of benefits from most insurance companies and are happy to help you check your insurance coverage before starting treatment. However, we advise you to also check benefits yourself since we do not represent the insurance company and cannot guarantee the accuracy of any information given to us by them.

Please be aware that your insurance coverage can change, sometimes unexpectedly. If your insurance is interrupted, reduced, or lost for any reason, you will be responsible for payment of the treatment fee, including any and all amounts left unpaid by the insurance company.

Payment of Fees

Our policy is that the down-payment be received before treatment begins, that accounts be kept current from month to month, and that the entire treatment fee be paid in full by the time treatment is completed.

Monthly payments are merely a way of budgeting the cost of treatment over time and are not related to the number of appointments that may occur during any given month. The regular monthly payment is due each month regardless of whether the patient was seen one time, or several times or not at all during any given month.

Responsible Party

When a patient’s parents are separated or divorced, we will designate one parent as the custodial parent. The custodial parent will be considered the guarantor and will be responsible to see that any and all treatment fees are paid directly to our office. The custodial parent will also be the party with whom we communicate regarding all treatment information. Communication will be completed by phone or by letter. For communication by letter, proof of posting will be considered proof of delivery.

If a question regarding your financial agreement arises at any time during treatment, please call Jill Sperry, our Business Manager. She is available by calling (630) 896-5400, Monday through Thursday, from 8 am to 4 pm.

Method of Payment

We accept cash, checks, money orders, and VISA or MasterCard for your convenience. A $50 per occurrence fee is applied to checks returned because of insufficient funds. We do not accept post-dated checks.
